Information for a travel agency stamp

Clients use your stamp to know who to call when a transfer is late. Suppliers use it to match a voucher to an account. Give both what they need.

Agency name

The registered or trading name that appears on your license and invoices.

Example: Bluecompass Travel & Tours

License or registration number

Only numbers issued to your own agency: a tourism ministry license, a US seller-of-travel registration, or the ATOL number you are entitled to quote in the UK. Formats differ by country.

Example: License No. TA-20817

Address and phone

Your office address and a number that is answered.

Example: 3 Harbor Arcade, Lindale · 555-0164

Emergency contact

A 24-hour line on voucher stamps reassures travelers far from home.

Example: 24h assistance: 555-0199

Booking reference and agent

Blank spaces so the stamp links a document to a booking file and the person who handled it.

Example: Ref: __________ · Agent: ____

Date

Issue date for vouchers, or payment date for receipts.

Example: Issued: ___/___/_____

Size, shape and ink for travel agency stamps

Agency stamps go on glossy voucher stock, thin invoice paper and PDFs, so clarity matters more than decoration.

Shape

Round stamps read as the agency’s identity; rectangles carry booking references and payment lines.

Size

Round agency stamps are commonly 38 to 42 mm. Status stamps such as "Deposit received" need around 55 × 30 mm to leave room for amounts. Logo stamps for wallets can be 30 to 40 mm.

Ink color

Blue or dark green distinguishes an original voucher from a photocopy. Use red sparingly, for "Cancelled" or "Refunded", so it keeps its meaning.

Legibility

Booking references mix letters and digits, so choose a font where 0 and O, or 1 and I, look clearly different. Avoid condensed type on glossy paper.

Bilingual layout

Agencies serving clients in two languages can put one language on each arc of a round stamp, Arabic included. Our notes on designing multilingual stamps cover translation checks and text direction.

Where travel agencies use stamps

Paper still travels with many trips, and PDFs travel with all of them.

Vouchers and itineraries

Hotel, transfer and tour vouchers carry the agency stamp so suppliers know who to bill.

Invoices and receipts

Deposit and paid stamps on receipts, alongside the invoice your accounting rules require.

Changes and cancellations

Mark superseded itineraries and cancelled vouchers so they cannot be reused. See our advice on void and cancelled stamps.

Frequently asked questions

What should a travel agency stamp include?

Usually the agency name, city, license or registration number and a phone number. Working stamps add booking references, amounts and dates.

Can I put the IATA or ATOL logo on my stamp?

Only if your agency is entitled to it. IATA restricts its logo to accredited agents, and ATOL marks follow the CAA’s rules. Your own logo is always the safe choice.

Does our stamp make a hotel voucher acceptable for a visa application?

No. Embassies and consulates decide what evidence they accept, and many check bookings directly with suppliers. Stamp only genuine, confirmed bookings.

We have an old rubber stamp. Can we keep the same design?

Yes. Stamp it on white paper, take a sharp photo and extract your old agency stamp from a photo. Rebuild it in the editor if your license number has changed.

What does it cost?

Designing and previewing are free. Downloads without the watermark are $2.50 for PNG only, $2.90 for PNG with SVG and EPS, and $3.50 for all six formats. Unlimited exports are available for $15.90 a month, $119 a year or $299 lifetime.

Can I order a self-inking version?

Yes. A local stamp maker can produce one from your SVG, EPS or PDF export. A self-inking round stamp suits the front desk, and a separate rectangular one handles receipts.

Which other pages fit travel businesses?

Hotels and guesthouses will find folio and housekeeping stamps on the hotel stamp maker page. If your clients need documents translated for their trip, the translator stamp templates show how certified translators set out their seal.
