What to put on a translator stamp

Receiving offices want to know who translated the document and how to contact them. In the UK, for example, a certified translation must include the date and the translator’s full name and contact details.

Full name

As it appears on your ID and any accreditation.

Example: Lina Haddad

Language pair and direction

Name the languages you certify, in the direction you translate.

Example: Arabic into English

Credential or registration

Only one you actually hold: a sworn or court-appointed number, a UAE Ministry of Justice legal translator registration, or membership of a body such as ITI, CIOL or ATA.

Example: Reg. No. T-0471

Contact details

An email or phone so the receiving office can verify the translation with you.

Example: lina@example.com · 555-0191

Agency name

If you translate for an agency, its name and address on a separate stamp.

Example: ClearWord Translations

Date, signature and reference

Blanks for the translation date, your signature and a job number that links the pages.

Example: Date: ___/___ Ref.: ______

Stamps translators use

Translators usually combine a personal stamp, a certification statement and page marks. Adapt the sample wording to the rules of the office receiving the file.

Personal translator stamp

Identifies you and your languages on every certified translation.

Sample wording

LINA HADDAD Translator · Arabic into English Reg. No. T-0471 lina@example.com · 555-0191

Certification statement stamp

Saves retyping the statement on every job. US immigration filings also need a line saying you are competent to translate between the two languages.

Sample wording

I certify that this is a true and accurate translation of the original document from Arabic into English. Translator: Lina Haddad Date: ___/___/____ Signature: ______________

Page stamp

Numbers and initials each page so loose sheets stay together.

Sample wording

CERTIFIED TRANSLATION Page ___ of ___ Ref. No. ________ Initials: ____

Received for translation stamp

Logs originals on arrival with page count and due date.

Sample wording

RECEIVED FOR TRANSLATION Date: ___/___/____ Pages: ____ Job No.: ______ Due: ___/___

Agency stamp

A round mark for invoices, cover letters and envelopes; the corporate seal templates suit it.

Sample wording

CLEARWORD TRANSLATIONS • TRANSLATION & INTERPRETING • Springfield

Size, shape and ink for translator stamps

Translations are often uploaded to portals as scans, so the stamp must survive grayscale.

Shape

Rectangles for statements and page stamps; a round seal for your personal or agency stamp.

Size

Statement stamps are commonly 60 × 30 mm to 70 × 35 mm. Page stamps fit in about 40 × 15 mm; round seals in 38 to 42 mm.

Ink color

Blue shows an original paper copy; black is safer for documents that will be scanned and uploaded.

Fonts and characters

Choose a font that covers both scripts, including accents and diacritics, and zoom in to check them.

Where translators use stamps

Most certified work ends up as a PDF, but paper still matters.

Immigration and visa files

Birth, marriage and police certificates for visa and residence applications.

Courts and legal documents

Contracts, judgments and powers of attorney for lawyers and clients.

University applications

Transcripts and diplomas sent to admissions offices abroad.

Business documents

Company certificates, commercial contracts and product manuals for clients trading in another language.

Frequently asked questions

What should a certified translation statement say?

In the UK: that it is a true and accurate translation of the original, the date, and your full name and contact details. For USCIS, add that you are competent to translate from the foreign language into English.

Do I need to be sworn or certified to certify a translation?

It depends on the country. The UK has no sworn translator system, and in the US certification comes from your signed statement. Many civil-law countries reserve official translations for sworn translators.

Can I design my sworn translator seal here?

Only if you have been appointed, and only in the format your court or ministry sets. Check the official specification first.

I am a legal translator in the UAE. What goes on my stamp?

Registered legal translators usually show their registered name, registration number and language pair. Copy the details from your Ministry of Justice registration and follow any format the ministry requires.

Should I stamp every page?

A page stamp with "Page x of y" and your initials helps keep multi-page translations together. Some receiving offices ask for it.

I have my seal as an image file. Can I reuse it?

Yes. Upload it to make a stamp from an uploaded image, or rebuild it in the editor for cleaner text.

How much does it cost?

Design and preview are free. Only the download is paid: $2.50 for PNG, $2.90 for PNG plus SVG and EPS, or $3.50 for PNG, JPG, SVG, EPS, PDF and DOCX. Agencies on steady volume may prefer unlimited plans: $15.90 monthly, $119 yearly or $299 lifetime.

Do lawyers and trading companies need translator stamps?

No, they need their own. Advocates can use the lawyer stamp maker. Exporters stamping invoices and packing lists will find layouts on the import-export stamp maker page.
