Every handover in a supply chain needs a record: goods received at the dock, delivered to the customer, loaded onto a trailer or set aside as damaged. Build those stamps in our online stamp maker, working from the received stamp templates, and export them for paper PODs, scanned paperwork and parcel labels.
Load any template from further down, or open a blank rectangle and type your fields. The stamp maker editor guide explains text lines, borders and spacing; type [ ] for a checkbox.

What to put on a logistics stamp
A good receiving or delivery stamp answers who, when, where, how many and in what condition, in the order a dock worker fills it in.
Company or depot name
The carrier or warehouse name, plus the site if you run several.
Example: Northline Freight Ltd. · Depot 3
Carrier identifiers
Where they help a shipper or broker look you up: in the US, a USDOT number and, for for-hire interstate carriers, an MC number. Other countries use operator licenses or registration numbers.
Example: USDOT 1234567 · MC 765432
Date and time
Time matters in logistics. Use a 24-hour clock, and write the month as letters if the paper crosses borders, to avoid 03/04 confusion.
Logistics stamps meet cardboard, glossy labels, carbonless forms and handheld scanners, often in a hurry.
Shape
Rectangles for almost everything, since fields read line by line. A round depot stamp can sit beside signatures on letters and claims.
Size
POD and receiving stamps with five fields need about 60 × 40 mm. Handling stamps for cartons are typically 60 × 20 mm or larger so they read from a distance.
Ink color
Black for PODs and receiving forms that get scanned. Red for FRAGILE and DO NOT STACK, so handlers see it first. Keep each status in one color across all sites.
Field spacing
Make write-in lines long enough for a full name and a clear time, and leave space around checkboxes so a quick tick lands in the right one.
Placement
Never stamp over a barcode, address or hazard label. Design the stamp narrow enough to fit the space your forms and cartons actually have.
Where logistics teams use stamps
Paper still travels with many shipments, even where scanners and apps handle the main record.
Deliveries and PODs
Drivers stamp delivery notes at the door. For electronic PODs, add a stamp to a PDF so the scanned copy shows the same fields.
Inbound and outbound docks
Receiving and dispatch stamps tie each pallet to a time and a person, which speeds up claims and stock checks.
Failed deliveries and returns
Mark parcels that could not be delivered and why. Our guide to undeliverable parcel stamps lists the reasons worth printing.
Courier counters and shipping desks
One stamp with your logo on one side and routing fields on the other keeps counter paperwork tidy. Read about split-panel shipping desk stamps.

Frequently asked questions
What should a proof of delivery stamp include?
The receiver’s printed name and signature, date and time, the waybill or order number and a condition check such as good, damaged or short. Add your company name so the stamp is clearly yours.
Is "received in good condition" a good idea?
Some receivers prefer "received subject to inspection" or a stamp with condition checkboxes, so a quick signature does not cover damage found later. Under CMR, reservations need reasons written on the consignment note.
Should I put my USDOT or MC number on the stamp?
You can, so shippers and brokers can look you up. Vehicle marking and registration rules are separate, and a stamp does not satisfy them.
Which ink works on cardboard?
Ask your stamp supplier for a permanent ink made for porous board. For glossy labels or plastic mailers, a quick-dry ink smudges less.
Can I scan stamped documents?
Yes. Black ink, bold borders and text at least 2 mm tall scan best. Test one stamped form through your scanner before ordering a batch of stamps.
How much does a logistics stamp cost?
The editor and preview are free. Each export is $2.50 (PNG only), $2.90 (PNG plus SVG and EPS) or $3.50 (all six formats). Depots that need many stamps can choose unlimited plans at $15.90 a month, $119 a year or $299 lifetime.
Do traders and online shops need different stamps?
Exporters focus on invoices, packing lists and carton marks; see the import export stamp maker. Online sellers need return address and packaging stamps, covered by the shop stamp templates.
