Construction stamp templates

Company, received and text layouts that suit site and office paperwork. Any of them opens in the editor with one click. Want a draft from a short description instead? The AI company seal maker suggests a layout you can then adjust.

Templates are starting points. Click one to load it into the editor above, then replace the text with your own details.

What to put on a construction company stamp

Clients, suppliers and inspectors look for different details. Keep the company stamp for identity and give each site stamp a single job.

Registered company name

The legal name from your registration, including Ltd., LLC or Inc., plus a trading name if customers know you by it.

Example: Hartwell Build & Renovate Ltd.

Contractor license number

Where contractors are licensed, quote the number. California, for instance, wants the state license number on contracts, bids and advertising; in the Philippines contractors hold a PCAB license.

Example: Contractor Lic. No. 987654, Class B

Company and tax numbers

A UK limited company must show its registered number and office on business letters and order forms. Add a VAT or tax number only where it helps the reader.

Example: Company No. 12345678 · VAT No. GB 123 4567 89

Address and site phone

The yard or office address and a number a driver can call when a delivery is held up.

Example: Unit 4, Mill Lane Estate, Springfield · 555-0163

Job or site reference

On delivery and site stamps, a job number links the paper to the right project folder.

Example: Job 24-117 · Oak Street Extension

Name, signature and date

Who received, checked or approved, and when. Leave lines wide enough for writing in gloves.

Example: Name: ________ Signed: ________ Date: ____

Stamps a building contractor uses

Site offices collect a drawer of stamps, each tied to a document. These five cover most jobs; edit the sample text to fit yours.

Company seal

Round, with the registered name on the ring and the license number or logo inside. Used on contracts, quotes, payment applications and letters.

Sample wording

HARTWELL BUILD & RENOVATE LTD. • SPRINGFIELD • Contractor Lic. No. 987654

Delivery received stamp

For supplier dockets at the gate. Many site teams write "subject to inspection" so that a quick signature is not read as acceptance of hidden damage. The received stamp templates give you the basic layout.

Sample wording

GOODS RECEIVED Subject to inspection Job: ________ Date: ________ Count checked: [ ] Yes [ ] No Received by: ______________

Quote accepted stamp

Lets a client accept a printed quote in one press, with space for an order number and signature.

Sample wording

QUOTE ACCEPTED Quote No. ________ Client: __________________ Signed: __________ Date: ______ PO No.: ________

Daily site log stamp

Pressed at the top of each diary page so the foreman fills the same fields every morning.

Sample wording

SITE DIARY Date: ______ Weather: ________ On site: ___ staff ___ subcontractors Deliveries: ______ Visitors: ______ Foreman: __________

Inspection and hold point stamp

Marks a stage as inspected before it gets covered up: rebar before a pour, pipework before backfill. For drawings, see our article on site drawing review stamps.

Sample wording

WORK INSPECTED Stage: ________________ [ ] OK to proceed [ ] Remedial work Inspected by: __________ Date: ______

Size, shape and ink for site stamps

Site stamps get used on clipboards, dusty tailgates and three-part carbon forms, so design for rough handling.

Shape

A round seal for the company identity; rectangles for delivery, diary and inspection stamps, where fill-in lines need width.

Size

Company seals commonly measure 40 to 45 mm. A delivery stamp of about 50 × 25 mm fits the margin of most dockets; diary and inspection stamps with five lines need around 60 × 40 mm.

Ink color

Black or dark blue for anything that will be copied or scanned. A second color, such as red for REMEDIAL, helps the office sort paperwork at the end of the week.

Legibility

Use thick borders and a heavy sans-serif. A stamp on the top sheet may not transfer clearly to carbonless copies, so stamp the copy you keep too.

Logo

Reduce the logo to one color and remove fine detail. Hard hats and cranes read well small; thin outlines and gradients do not.

Where contractors use their stamps

From the first quote to the final account, a few stamps cover most of the paper trail.

Quotes, contracts and invoices

Stamp the company seal beside the signature on printed quotes, or add a stamp to a PDF before emailing it to the client.

Deliveries and plant hire

Received stamps on dockets and hire notes make it easier to match supplier invoices and settle short deliveries.

Site records

Diary and inspection stamps give every page the same layout, which helps when a client, insurer or inspector asks what happened on a given day.

Subcontractors and suppliers

Mark insurance certificates, method statements and bank details as checked during onboarding. Our supplier onboarding stamps checklist separates each review step.

Frequently asked questions

What should a contractor company stamp include?

The registered company name, your contractor license number where one applies, the address and phone number, and optionally a simplified logo. Site stamps add a job number and space for a name and date.

Do I need my license number on quotes?

In some places, yes; California, for example, requires it on contracts, bids and advertising. Check the licensing rules where you work before you finalize the stamp.

Which stamp works best for delivery dockets?

A small rectangular received stamp with date, job number, a count check and the receiver’s name. Keep it narrow enough for the docket margin and test it on a carbonless copy.

Can I make a simple ACCEPTED or PAID stamp?

Yes. Open one of the text stamp templates, type the word in bold capitals and add a date line. Status stamps like these read best in a single strong color.

Do builders still need a company seal?

Some clients and tender forms still ask for one beside the signature. Our article on why company seals still matter explains where they are still used and what they do not prove.

How much do contractor stamps cost?

Designing and previewing are free. A single export costs $2.50 (PNG), $2.90 (PNG, SVG and EPS) or $3.50 (all six formats). For a full set of site stamps, unlimited plans cost $15.90 a month, $119 a year or $299 lifetime.

What about engineers and sole-trader builders?

Engineers who seal drawings need a licensed seal; see the engineer stamp maker. A one-person trade business can start with the self-employed stamp maker for invoices and quotes.
