What to put on an import-export stamp
Your stamp will be read by freight forwarders, banks, customs brokers and buyers who may not share your language. Use the exact legal name and keep identifiers short.
Legal company name
As it appears on your registration and bank account, because banks compare names across documents.
Example: Bluewater Trading Co. Ltd.
Address with country
Overseas readers need the city and country, not just a street.
The number your customs system knows you by: an EORI number for moving goods into or out of the UK or EU, or an Importer Exporter Code (IEC) from the DGFT in India. Other countries use their own importer registration.
Example: EORI: GB123456789000
Tax number
Add a VAT or tax registration number if buyers need it for their own records.
Example: Tax ID 00-1234567
Contact line
An email and phone number with country code, for the forwarder who has a question at midnight.
Example: trade@bluewater.example · +1 555-0199
Authorized signatory
Commercial invoices and certificates often carry a "for and on behalf of" line above the signature. Keep the signature itself handwritten or electronic.
Example: For and on behalf of Bluewater Trading Co. Ltd. ________
Stamps a trading company uses
Export paperwork travels through many hands. A small set of consistent stamps makes it obvious which document is which. Paste the wording into the editor and change the names and numbers.
Company stamp
For commercial invoices, proforma invoices, packing lists and purchase orders, placed beside the authorized signature.
Banks handling letters of credit and buyers both need to know which document is the original. Bold one-word stamps from the text stamp templates do the job.
Sample wording
ORIGINAL
COPY
DUPLICATE
Shipping marks stamp
For small export runs where printed cartons are not worth it: consignee, destination, order and carton number in a fixed layout.
Sample wording
CONSIGNEE: ALM TRADING
PORT: JEBEL ALI
PO No. 4471
C/No. ____ OF ____
GROSS WT: ______ KG
Documents received stamp
For incoming bills of lading, delivery orders and supplier invoices, recording the arrival date and who is handling the file.
Sample wording
DOCUMENTS RECEIVED
Date: ___/___/____
Shipment Ref.: __________
Handled by: __________
QC inspected stamp
Marks goods or inspection reports as checked before shipment. Our article on quality control stamps explains how to keep a QC mark separate from final release.
Sample wording
QC INSPECTED
Lot No.: ________
[ ] Passed [ ] On hold
Inspector: ________
Date: ________
Size, shape and ink for trade stamps
Trade documents get scanned, emailed, printed and scanned again, and cartons get rained on. Plan for both.
Shape
A round or oval company seal for signatures; rectangles for document status, received and QC stamps; large rectangles for carton marks.
Size
Company seals commonly run 40 to 45 mm. ORIGINAL and COPY stamps of about 50 × 15 mm fit a page header. Carton marks need to be read from a distance, so large handle stamps of 80 × 60 mm or more are typical.
Ink color
Blue for the company stamp helps show an original. Black is safest for anything that will be scanned. On corrugated board, a permanent ink made for cardboard holds up better; your stamp supplier can advise.
Legibility across languages
Use capital letters in a plain sans-serif, avoid abbreviations your buyers may not know, and keep identifiers on their own line.
Bilingual layout
Companies trading with the Gulf often show the name in Arabic and English. Put each language on its own line or ring; right-to-left text is supported in the editor.
Where traders use their stamps
One set of files covers the desk, the warehouse and the documents emailed to banks and forwarders.
Original and Copy stamps help a bank match each document to the credit terms without guessing.
Cartons and pallets
Shipping mark and QC stamps on outer packaging make a mixed load easier to sort at the destination.
New suppliers
Mark registration certificates, bank letters and samples as checked during onboarding. The supplier onboarding stamp checklist suggests a stamp for each check.

Frequently asked questions
What should an import-export company stamp include?
The legal company name, the address with country, and often a trade identifier such as an EORI number or IEC, plus a contact line. Add a tax number if your buyers ask for it.
Does my EORI number have to be on the stamp?
Not necessarily. The number must appear where customs forms and declarations ask for it. Some traders add it to the stamp simply so it is on every document.
How do I stamp shipping marks on cartons?
Use a large rectangular stamp with fill-in spaces for carton number and weight, in black permanent ink. Test it on the actual board; corrugated surfaces need bold, simple lettering.
Can I make an Arabic and English company stamp?
Yes. Put the Arabic name on the top arc or first line and the English below. Check the Arabic spelling against your commercial registration before you export.
Which file formats should I download?
A transparent PNG at 3x or 10x for PDFs, and SVG or EPS for a stamp maker. The $3.50 export includes all six formats, including DOCX for invoice templates in Word.
What do the downloads cost?
Designing and previewing are free. Each export is priced by format: $2.50 for a PNG, $2.90 with SVG and EPS added, or $3.50 for all six. Unlimited plans are $15.90 a month, $119 a year or $299 lifetime.
Do forwarders and translators need different stamps?
Carriers and warehouses lean on received and handling stamps; see the logistics stamp templates. For certified translations of trade documents, the translator stamp maker covers the wording translators use.
