Business stamp templates for freelancers

Business, address and logo layouts suited to a one-person business. Click one to load it. If you would rather describe your idea, the AI business stamp maker produces a draft you can then edit.

Templates are starting points. Click one to load it into the editor above, then replace the text with your own details.

What to put on a self-employed business stamp

A freelancer’s stamp is mostly about being easy to identify and pay. Include what your clients and tax rules need, and leave off anything private.

Your name

Sole traders trade as themselves. In the UK, invoices must show your own name as well as any business name you use.

Example: Sam Okoye

Trading name

The name on your website and social profiles, if you have one. Keep it on its own line so it stands out.

Example: Okoye Design Studio

Business address

Where post and legal documents can reach you. If you work from home and would rather not print your street, check whether a service or PO box address is acceptable where you are.

Example: Flat 2, 19 Bridge Street, Springfield

Email, phone or website

One or two ways to reach you, not all of them.

Example: hello@okoyedesign.example · 555-0174

Tax or registration number

Only business identifiers, and only where they help. A GST-registered business in India must show its GSTIN on tax invoices; a VAT-registered UK trader adds a VAT number. Never put a personal ID such as a Social Security or national ID number on a stamp.

Example: Tax No. 123-456-789

Logo

A one-color version of your mark for packaging and cards. Keep it off the invoice stamp if space is tight.

Example: Simple pencil-and-circle icon

Stamps freelancers and sole traders use

Most one-person businesses need two to four small stamps rather than one big one. The sample wording below is a starting point; paste it into the editor and make it yours.

Business details stamp

A neat block in the corner of handwritten invoices, quotes and receipts, so every copy shows who issued it.

Sample wording

OKOYE DESIGN STUDIO Sam Okoye 19 Bridge Street, Springfield hello@okoyedesign.example Tax No. 123-456-789

Paid stamp

Marks an invoice as settled, with the date and how it was paid. Our article on invoice approval stamps shows how larger clients separate approved from paid.

Sample wording

PAID Date: ___/___/____ [ ] Bank transfer [ ] Cash [ ] Card Invoice No. ______

Return address stamp

For envelopes, mailers and parcels. A small self-inking stamp pays for itself quickly; read about everyday uses for an address stamp for more ideas.

Sample wording

Okoye Design Studio 19 Bridge Street Springfield 01234

Logo stamp for packaging

A round mark for kraft boxes, tissue paper, cards and swing tags. Some makers add a short thank-you line; the guide to thank-you stamp design for packaging covers wording and placement.

Sample wording

OKOYE DESIGN STUDIO • MADE IN SPRINGFIELD • Thank you

Received date stamp

For contracts, briefs and receipts that arrive by post, so you can show your accountant or client when each one came in.

Sample wording

RECEIVED Date: ___/___/____ Okoye Design Studio Filed: ________

Size, shape and ink for freelancer stamps

You might print a stamp on an invoice one day and a cardboard box the next, so pick the format per job.

Shape

Rectangles for invoices, quotes and envelopes, where text sits in lines. A circle or oval for logo stamps on packaging and cards.

Size

Return address stamps are commonly around 47 × 18 mm, a size many self-inking mounts take. Invoice blocks of 50 × 20 to 58 × 22 mm hold four or five lines; a PAID stamp can be as small as 40 × 15 mm.

Ink color

Black or blue on invoices and post. A brand color works on packaging. The aging effect adds a hand-stamped feel to product photos and social posts.

Font

A clear font for addresses and numbers. A script or display font can carry your trading name on a logo stamp, as long as it stays legible at 30 mm.

Logo detail

Thin lines fill in on rubber and soft card. Simplify the mark to bold shapes and test it at the real size before ordering a physical stamp.

Where self-employed people use stamps

From the first quote to the parcel on the doorstep, the same files cover paper and screen.

Invoices and quotes

Stamp printed invoices, or add a stamp to a PDF when you email them, so every copy looks the same.

Post and parcels

Return address and logo stamps on envelopes and mailers save time at the packing table.

Packaging and cards

Turn plain boxes, bags and business cards into branded stock without a large print order.

Your own records

Paid and received stamps make it easier to match paperwork with your bank statements at tax time.

Frequently asked questions

What should a sole trader stamp include?

Your name, any trading name, a business address and one contact line. Add a tax or VAT number only if you are registered and it helps your clients.

Do I need a stamp to issue invoices?

Usually not; the invoice content matters more than a stamp. Some clients and markets still like to see one; why company seals still matter looks at where a stamp carries weight.

Can I use one design for invoices and packaging?

You can, but two work better: a text-only block for paperwork and a round logo stamp for packaging. They can share the same font and color.

Can I get a physical self-inking stamp?

Yes. Send the exported SVG, EPS or PDF to a stamp shop near you, with the size in millimeters so the mount matches.

Will my stamp look sharp on screen?

Download a transparent PNG at 3x or 10x for crisp edges in PDFs and slides. If you need a different size later, you can resize a stamp image without starting over.

What does a business stamp cost?

Designing and previewing are free. Paying per file, a PNG is $2.50, PNG with SVG and EPS is $2.90, and all six formats are $3.50. If you need several stamps, unlimited plans are $15.90 a month, $119 a year or $299 lifetime.

I sell products or keep the books for others. Is there a better page?

Product sellers will find packaging and loyalty ideas in the shop stamp maker. Bookkeepers and accountants can see firm and review stamps in the accountant stamp templates.
