What to put on a university department stamp
A department stamp tells the reader which unit handled a document. Copy the names exactly as they appear on your official letterhead.
University name
The full name, or the short form your letterhead uses. On a round stamp it usually runs along the top arc.
Example: Northfield State University
Faculty, school or department
The unit that owns the stamp. Skip internal abbreviations that students and outside readers will not recognize.
Example: School of Life Sciences · Department of Microbiology
Office or function
Worth adding when one department has several desks, such as graduate admissions, examinations or the dean’s office.
Example: Graduate Admissions Office
Campus and address
Multi-campus universities add the campus so returned forms and mail reach the right building.
Example: East Campus, 400 College Avenue, Northfield
Date and handler
Blank spaces for the received or processed date and the initials of the staff member who logged it.
Example: Received: ___/___/_____ · By: _____
Reference or room number
For thesis submissions, lab inventories and archive boxes, a reference line lets staff trace an item later.
Example: Ref. No. ________ · Room B214
Stamps used across a campus
Each office tends to need its own small set. Paste the sample wording into the editor and change the names and numbers.

Size, shape and ink for university stamps
Campus stamps land on everything from glossy folders to rough archive boxes, so plan for the surface each one meets most.
Shape
Round stamps suit department identity. Rectangular ones fit received, exam and routing stamps, where text reads in lines. An oval handles long names.
Size
Round department stamps are commonly 38 to 45 mm. Library ownership stamps are often smaller, around 25 to 35 mm wide, so they do not cover text. A received stamp of about 50 × 25 mm leaves room to write a date.
Ink color
Many offices give each function its own color, such as blue for administration, purple for the library and red for exam statuses. Ask preservation staff before stamping rare books.
Font and legibility
Plain capitals read best on arcs. Check that the smallest line still reads when the PNG is scaled down for a PDF form.
Logo and bilingual layout
A department icon can sit in the center; use the university crest only if your brand office allows it. Bilingual campuses can give each language one arc, as our notes on multilingual office stamps explain.
Where universities use stamps
The same design serves the paper desk and the digital workflow.
Admissions and student services
Mark application packs, transcript requests and ID card forms as received, logged or forwarded. Our article on school administration stamp systems shows how to keep those statuses apart.
Research labs
Label sample boxes, equipment logbooks and inventory sheets with the lab name and a date line.
Library and archives
Ownership, withdrawn and reference-only stamps for books, journals, maps and special collections.
Digital paperwork
Recommendation letters, internship agreements and lab reports often travel as files, so add the department stamp to a PDF before you send them.

Frequently asked questions
Can a department make its own stamp?
Usually yes, for internal and administrative work, but check with your faculty office first. Many universities have a brand guide that sets which names, colors and logos departments may use.
Can a received stamp go on transcripts or certificates?
A received stamp only shows when a document arrived. Certifying copies of transcripts or degrees is the registrar’s job, following the procedure your university sets.
Our library has an old rubber stamp. Can we digitize it?
Yes. Press it on white paper, photograph it in good light and use the tool to extract a stamp from a photo. If the letters come out blurred, rebuild the design in the editor.
What does it cost to equip several offices?
Designing is free. Each watermark-free export costs $2.50 for PNG, $2.90 for PNG, SVG and EPS, or $3.50 for all six formats. For several offices, an unlimited plan ($15.90 a month, $119 a year or $299 lifetime) is simpler, and designs stay in My Library.
Can we order rubber stamps from the design?
Yes. Export SVG, EPS or PDF and send it to a local stamp maker or your campus print service. Self-inking stamps suit busy desks, while a library may prefer a wooden-handle stamp used with archival ink.
What about lecturers, short courses and student charities?
Lecturers who grade work or mark attendance can use the teacher stamp maker. Continuing-education units that issue attendance certificates will find layouts among the training center stamp templates. Alumni associations and student-run charities can start with the nonprofit stamp maker.
