School stamps cover a wide range of jobs. The front office uses them to mark forms received and records entered. Teachers use them for quick feedback and rewards. Administrators put a school name stamp on letters, certificates, and report cards. The templates on this page are set up for these uses, and every one can be edited with your school's name, details, and colors.

  • Office and records stamps. RECEIVED, ENTERED, VERIFIED, COPY, or FILED, with a date line and staff initials, for enrollment forms, permission slips, and transcript requests.
  • School name stamps. The school's name, address, and phone number, sometimes with the crest, for envelopes, letters, and forms.
  • Certificate stamps. A round design with the school name around the edge and the crest or founding year in the center, for awards and certificates.
  • Date and attendance stamps. A record of when homework, forms, or notes arrived.
  • Grading and feedback stamps. CHECKED, SEE ME, LATE, REVISE, or letter grades for marking work quickly.
  • Reward stamps. Stars, smiles, and short phrases such as "Great work" for younger students.
  • Library and department stamps. "Property of" marks for books and equipment that belong to a department.

Signature stamps exist too, but treat them with care. Many institutions do not accept a stamped signature on official records, so check your school or district policy before using one.

  • The school name, spelled exactly as it appears on the letterhead.
  • District, city, or address line.
  • A department, such as Admissions, Registrar, or Library.
  • A status word for office stamps.
  • Date, initials, or reference number lines.
  • A school code or registration number, if your education authority expects it on documents.
  • The school logo or crest, if the school allows it on stamps.

For an overview of the stamps a school office actually needs day to day, see .

Round stamps suit the school name and crest; about 40–50 mm across fits a long name around the edge. Rectangular stamps work for address blocks and office stamps with fill-in lines, often around 50–60 mm wide. Reward and feedback stamps are usually small, about 15–25 mm, so they fit in a margin or beside an answer. Choose sizes by measuring the documents you stamp most often.

  1. Choose a template and open it in the editor on this page.
  2. Click each text element and replace the placeholder with your school's details.
  3. On round designs, adjust the curved text size and letter spacing so the school name sits evenly around the edge.
  4. Upload your school logo as an SVG or PNG. A simple, high-contrast version works best at small sizes.
  5. Add shapes such as stars or lines for reward stamps, and pick a border: single, double, triple, dashed, dotted, or vintage.
  6. Set the ink color. Use the school color for certificates and reward stamps, and black or blue for office records.

The live preview (which carries a watermark) shows each change. Sign in with a free account to save designs to My Library, which helps when several staff members need the same approved version.

If you would rather describe what you want, the drafts a layout from a prompt such as "round stamp with the school name, crest in the center, and founding year". Describe the stamp, review the AI draft, refine it in the editor, and pay only when you export.

A school stamp only helps if people use it consistently. A few simple rules keep records clean:

  • Decide which stamps belong to the office and which can be used in classrooms.
  • Keep official stamps, especially any with the crest or a signature, in a locked drawer.
  • Agree on a standard position for office stamps on each form.
  • Store the master design file where the office can find it, so replacement stamps match the original.

The article on goes further into assigning stamps to roles and keeping records consistent.

Designing and previewing are free. When you are ready to export:

  • PNG ($2.50): transparent, at 1x, 3x, or 10x, for digital worksheets, report cards, newsletters, and PDFs.
  • PNG + SVG + EPS ($2.90): vector files for a stamp supplier making a physical self-inking or rubber stamp.
  • All six formats ($3.50): PNG, JPG, SVG, EPS, PDF, and DOCX, handy for Word templates and printed certificates.

A single export does not require an account. Schools that need many variations, such as a set of reward stamps, may prefer an unlimited plan.

For digital paperwork, the free lets you upload a PDF, place the stamp image, resize it, and download the result. Files are processed in the browser and cleared about an hour after use. Follow your school's privacy rules for student records before uploading any file.

A stamp image on a certificate or transcript is a visual mark, not a digital signature, so it does not prove the document's authenticity on its own. Follow your school's or education authority's procedure for issuing official records.

Stamps are also useful in teaching itself. Younger students can use a name or "my work" stamp to mark their own pages, which builds independence. Large, simple stamps with a chunky handle are easier for small hands and for students who are still developing fine-motor control. Teachers can make themed stamps for reading logs, homework charts, or class jobs, and rotate reward designs during the year so they stay interesting.

  • Letting each teacher create a slightly different version of the school name stamp.
  • Using a detailed crest that turns into a blot at small sizes.
  • Making reward stamps so large that they cover students' work.
  • Leaving signature stamps unsecured.
  • Using a pale color that disappears when forms are photocopied.

Can teachers make their own classroom stamps?

Yes. Feedback and reward stamps are a common classroom use. For anything with the school name or crest, check with the school office first so designs stay consistent.

What size works best for a reward stamp?

Small stamps, about 15–25 mm, fit in margins and next to answers without covering work.

Can we put the school crest on a stamp?

If your school allows it, upload the crest as an SVG or PNG. A simplified, single-color version usually prints more clearly than a detailed one.

Does a stamp make a certificate official?

A stamp shows which school issued the certificate, but it does not verify the document on its own. Follow your school's or education authority's rules for issuing official certificates and transcripts.
