What a nonprofit stamp should show

Donors, members and funders want to know exactly who they are dealing with. Copy names and numbers from your registration documents.

Organization name

The legal or registered name. Add a better-known short name in brackets only if space allows.

Example: Hillside Community Food Trust

Registration number

The number your regulator or tax authority assigned, such as a UK registered charity number, a US EIN or an Indian trust or society registration.

Example: Registered Charity No. 1234567

Address and contact

Where donors can write, or the email address that answers receipt questions.

Example: 22 Orchard Row, Hillside · info@hillsidetrust.example

Mission line or logo

A few words that say what you do, or your logo simplified to one color.

Example: Fresh food for every neighbor

Amount, date and reference

Blank lines on receipt and membership stamps, filled in by hand.

Example: Amount: ______ · Date: ___/___ · Ref: ____

Authorized signature

A line for the treasurer or receipting officer, kept separate from the printed details.

Example: Treasurer: ______________

Size, shape and ink for nonprofit stamps

Most charity paperwork is ordinary office paper, but membership cards and event passports are small.

Shape

A round stamp works as the organization’s official mark. Rectangular stamps suit receipts, intake logs and shift records.

Size

Round organization stamps are often 38 to 45 mm. Receipt stamps around 55 × 30 mm fit amounts and references. Membership card stamps work at 20 to 25 mm.

Ink color

Blue for the official stamp makes originals easy to spot. A brand color is fine for membership and event stamps that never go on formal documents.

Legibility

Print the registration number in plain, full-size digits; a funder or donor may need to look it up.

Logo and languages

Community associations serving more than one language group can use two arcs, one per language. Upload your logo, or keep its original colors for digital letters.

Where nonprofits use stamps

From the front desk to the grant report.

Donations and thank-you letters

Mark gift slips as received and add a warm stamp to handwritten thank-you cards.

Events and volunteers

Check-in tables, volunteer passports and fun-run cards each collect a quick mark.

Frequently asked questions

What should a nonprofit stamp include?

Usually the registered name, registration or charity number, city and, for receipts, lines for amount, date and signature. Check your regulator’s rules on how the number must be shown.

Does a stamped receipt make a donation tax-deductible?

No. Deductibility depends on your organization’s status and on receipts that meet your tax authority’s requirements. The stamp only identifies who issued the paper.

Who should keep the official stamp?

Usually the secretary or treasurer. Give volunteers separate stamps for check-in and intake, so the official mark stays on formal documents only.

Our old stamp is worn out. Can we copy it?

Stamp it once on clean white paper, take a well-lit picture and extract the stamp from a photo. Then rebuild it in the editor with sharp, current details.

How much does it cost a small charity?

Designing and previewing are free. A single PNG export is $2.50, PNG plus SVG and EPS is $2.90, and all six formats are $3.50. For regular use, an unlimited plan is $15.90 monthly, $119 yearly or $299 once for lifetime access.

Can we get a rubber stamp made?

Yes. Send the SVG, EPS or PDF export to a local stamp maker; a self-inking stamp is easiest for receipt desks.

Do churches and education charities need something different?

Parish offices have their own needs, covered by the church stamp maker. Charities running courses will find certificate layouts among the training center stamp templates, and student societies will find ideas on the university stamp maker page.
