In India, a stamp next to a signature is part of everyday paperwork. Company letters, invoices, purchase orders, certificates, and many forms carry a rubber stamp that names the organization or the person signing. Seals have a long history in South Asia, with carved stone seals from the Indus Valley Civilization among the best-known early examples, but the stamps in daily use today are practical office tools. For companies, the answer changed with the Companies (Amendment) Act, 2015. Before that amendment, a company was expected to have a common seal. Since then, the common seal has been optional. A company that does not use one can authorize documents with signatures instead, for example the signatures of two directors, or of a director and the company secretary where one has been appointed.

In practice, many businesses still use stamps. Banks, government departments, and customers may ask for a stamped document, and a company's own articles of association may refer to a seal. Requirements depend on the document and on who receives it, so confirm with your company secretary, chartered accountant, or legal advisor. A rubber stamp, or a stamp image on a PDF, is not a substitute for a signature or a Digital Signature Certificate where one is required.

"For Company / Authorised Signatory" stamp. A rectangular stamp with the company name on the top line ("For ABC Traders Pvt. Ltd."), blank space for the signature, and "Authorised Signatory", "Director", or "Proprietor" at the bottom. It is one of the most familiar business stamps in India and appears on invoices, letters, and agreements.

Round company stamp. The company name runs around the edge, with the city or location in the center. It is used alongside signatures on letters, delivery challans, and forms.

Designation stamp. Used by officials and staff in government offices, banks, and institutions: name, designation, department, and office address in stacked lines, placed under the signature.

Professional stamps. Doctors, chartered accountants, engineers, and other professionals often use a rectangular stamp with their name, qualifications, and registration or membership number. Check your professional body's rules for what must appear.

Bilingual stamps. Central government offices and many public institutions commonly use Hindi and English on the same stamp, and state offices often pair the state's language with English.

The State Emblem of India is protected by the State Emblem of India (Prohibition of Improper Use) Act, 2005, and its use is limited to authorized bodies and officials. Do not add it, or any government department's emblem, to a stamp unless you are entitled to use it. The same goes for the logos of banks, regulators, or other organizations. For a business stamp, your registered name and, if you have one, your own logo are enough.

• The full registered name, with "Private Limited", "Pvt. Ltd.", "LLP", or "Limited" exactly as registered.
• The city or registered office location.
• A signing line and designation, such as Authorised Signatory or Director.
• Optional details such as GSTIN or CIN, if your customers or bank expect them on documents.
• For government offices, the officer's designation, section, and office address.

Rectangular stamps are the norm for authorised signatory and designation stamps because they hold several lines of text with room for a signature. Round stamps, commonly about 38–45 mm across, suit a company name around the edge. Ovals help when the registered name is long. Keep the text large enough to read on a photocopy, since many documents are filed and shared as copies.
